About the role

  • We are seeking a

Finance Secretary to assist the School Leadership Team with a wide variety of administrative and financial tasks to support the financial operations of the school.

Under the direction of the Principal, you will coordinate financial administration activities and provide support to ensure the school delivers on key reporting deadlines.

Finance Responsibilities

  • Administer the daytoday management of the school's financial responsibilities including data entry, maintenance of financial registers, computing, grant acquittals and clerical support for the effective operations of the office.
  • Understand and use Brisbane Catholic Education finance systems and requirements, prepare financial and management reports for review and authorization.
  • Contribute to setting budgets and staffing schedules and assist with regular budget reviews.
  • Maintain filing systems for all financial records.
  • Process and administer school fee routines and work confidentially with families with financial arrangements and support.
  • Assist with the management and coordination of resources, asset management and facilities, including regular stocktakes, scheduling and managing maintenance activities, and facility hire.
  • Assist the Principal in staffing contractual arrangements including administering Blue Card processes and arrangements and timesheet recording.
  • Support the Principal with capital works projects and coordinate minor works, including management of maintenance requirements in accordance with the Maintenance Assessment Report and school needs.
  • Liaise with internal and external key stakeholders with regards to financial matters.
  • Other duties, consistent with the duties and responsibilities of the position as directed by the Principal or leadership team.

  • Support the front office team in normal school operations, respond to enquiries from staff, students, parents and the general public and address issues in accordance with routines, methods and procedures.

Key

characteristics

  • Highly organised and be able to demonstrate sound judgement, confidentiality, and discretion.
  • Experience with Microsoft Office, particularly Excel.
  • Experience with the BCE finance system or Microsoft Dynamics (desirable).
  • High attention to detail and accuracy.
  • Demonstrate tolerance, maturity, patience and a capacity for selforganisation and the ability to respond and adapt whilst operating in an environment which is often demanding and busy.
  • Facilitate effective communication with staff, students, parents, and visitors in a way that enhances the school image and contributes to the goals of Catholic Education.
To be eligible to be considered for this role you will:

  • hold a Paid Employee Positive Notice Blue Card prior to commencement;
- be eligible to work in Australia for the duration of the appointment; and
- have a commitment to and understanding of the ethos and traditions of Catholic Education.

Weeks worked:
School Terms plus an additonal 4 weeks per year during the holidays

Total Paid Hours (per week) & days required:5 days/week (38 hours/week) Monday to Friday term time. Additional days in the holidays required.

Salary level, range or hourly rate:School Officer Level 5 - $35.74 per hour
