Fantastic opportunity for proactive Admin Office Professional to join this leading charity which is part of an international organisation. Supporting the EA with a range of administration responsibilities in relation to the Board & Committee. This role offers great scope for someone who is seeking a true EA role down the track. Here's your chance to gain working exposure supporting the Executive Team.

Responsibilities:

  • Assistant the Executive Assistant to provide timely and accurate administrative and procedural support to enable the Board and its Committees to fulfil their responsibilities.
  • Ensuring that schedules, policies, and procedures are adhered to, records are accurately maintained, facilitating a seamless cycle.
  • Send and maintain calendar invites, meeting room/venue bookings and securely distribute meeting details and relevant papers according to the Board and Committee schedule.
  • Prepare highquality documents using Microsoft Office including drafting, editing and reformatting documents and minutes.
  • Maintain accurate records per legislative and governance requirements.
  • Maintain accurate version control and track changes where required of all documents.
  • Organise catering, IT and equipment as required and prepare facilities as required.
  • Maintain database, directory and internal distribution lists with Board and Committee membership.
  • Process Board, Committee and State role appointments.
  • Take minutes at Committee meetings as required.
  • Identify, initiate and follow up actions arising from the minutes and report progress to CEO.
  • Undertake research and other administrative or project tasks as directed
  • Develop and maintain a collaborative and highly effective working relationship with the CEO, Directors, Chairs and Committee members.

Experience & Attributes:
  • Minimum of 3 years of high
  • level administrative experience
  • Ability to maintain confidentiality
  • Ability to manage deadlines and prioritise workload, be proactive and professional
  • Excellent interpersonal and communication skills ability to liaise with internal/external stakeholders at all levels
  • Certificate in Business Administration or equivalent experience highly regarded
  • Experience providing administrative support to Board and or Committee (highly desirable)
  • NFP industry experience highly regarded though not essential
