About the role
The Divisional Administrator's role is to provide general administrative support to the Operational Departments.

This position involves general administration services and office support, providing a timely and high level of service to ensure overall departmental goals are met.


Key Accountabilities

  • Management of kitchen supplies where appropriate (e.g. Technology Services office)
  • Management of office furniture and stationery requirements in conjunction with Procurement
  • Assist with documentation as required including flexible work arrangement scheduling
  • Arrange internal events including team meetings and workshops as required
  • General office support duties/ overflow support to Departments as required
  • Responsible for developing monthly department updates and news for release
  • Point of contact for Heads of Department for administrative coordination
  • Support for Heads of Department for diary management and coordination with the Department Executive Assistant
  • Providing support and administrative assistance with the development of communication material, managing meeting coordination, issuing of calendar invites, and accurate and detailed event information to support the weekly overview of upcoming events
  • Supporting updates to the Operational Services Intranet page including Operations in the Limelight and Shout Outs.
  • Responsible for updating departmental intranet sites as requested
  • Coordinate the completion of the Monthly Performance Report
  • Completing Extension of time (EOT) filing and monitoring
  • Raise purchase requestions in EBMS as requested
  • Undertake Corporate Credit card reconciliation
  • Generate reports forweekly/monthly expenditure & revenue

Qualifications, knowledge, and Experience:

Essential

  • Ability to prioritise and effectively manage multiple activities
  • Excellent interpersonal skills
  • Strong attention to detail and administration skills
  • Excellent time management and organisational skills
  • Experience working with the Microsoft Office suite

Desirable

  • Relevant qualification in administration
  • EBMS experience
  • Previous experience working in an entrylevel administration position
