About the Client

Our client has been operating for over 35 years as Australia ' s largest cooling component repair specialist, supplying mining, rail, industrial, heavy haulage and marine industries.

They currently require a highly experienced Office Administrator / Office Manager to join the team at their Morningside Office.

What you will be doing

As an Office Administrator / Office Manager you will be responsible to provide administrative support to the CEO, Directors and the Leadership Team and to manage the Head Office environment.

You will primarily be accountable for managing calendars and inboxes, the organisation of meetings and appointments, taking minutes, producing reports and the general management of the office environment.

You will be required to work 8am-5pm, Monday to Friday based in Morningside (QLD).

Accountabilities / Duties

Acknowledging and responding to all customer, supplier and visitor enquiries and orders in a timely manner

Preparing reports and presentations, internal and external communications, promotional materials and other correspondence

Managing the CEO and Directors Outlook calendars including coordinating bookings and appointments.

Preparing agendas and taking minutes capturing detailed information, formatting, distribution and filing.

Coordinating meetings including time management, booking venues, preparing the board room, offering beverages, catering requirements

Booking travel arrangements for employees

Raising and providing Purchase Orders

Coordinating invoices through to the Accounts Payable

Arranging freight and couriers to and from customers and suppliers

Contractor management including coordination of cleaners and general maintenance providers

Filing and scanning

Maintaining stock of office supplies

Providing general support to the Leadership Team.

What you will need

Drivers Licence

Previous administration experience

Intermediate Microsoft Office skills

Excellent verbal and written communications

Previous Executive Assistant or Office Manager experience

Effective time management including adherence to timelines and expectations

High level organisational and time management skills
