The Role

Duties

  • Provide high level executive support to a senior SES staff to ensure branch and divisional deliverables and input are provided on time, to a high quality and with the required engagement and work area input.
  • Coordinate the executive deliverables of the branch through engagement with Assistant Secretaries in the division and other business areas, including working closely and productively with other branch heads, Executive Officers and Executive Assistants
  • Preparation of briefing material to support the Assistant Secretary, First Assistant Secretary and other members of the Executive as required, including talking points, presentations, briefing papers and ministerial correspondence. Coordinating and engaging with relevant areas of the agency to obtain relevant input.
  • Preparation of letters and correspondence for external stakeholders regarding status disaster management funding for programs.
  • Coordination of senate estimates papers, quality control and ensuring briefs are provided to senior executives on time.
  • Manage the review and workflow of briefing material and other submissions through Microsoft Outlook and PDMS.
  • Coordinate the division's input to key departmental deliverables including but not limited to budget, financial reporting, workforce management, annual report, corporate and business plans, internal audit, risk management and security management
  • Supervision of staff, including setting of work priorities
  • Provide guidance on the development, implementation and maintenance of secretariat processes and practices, and provide a readily accessible source of knowledge and skills on team process and operations, and committee protocol.
  • Quality Assurance to ensure consistency and high standards of product.
