The Role

As a Coordination Officer in the Service team you will be responsible for supporting the teams ongoing service, operation & maintenance requirements (O&M).

Working in collaboration with Service Supervisors and Service Field Staff to co-ordinate the operational field and offer administrative support to the Service Team.

The role will see you championing the efficient development and execution of processes and procedures to coordinate O&M activities. The role allows for you to take ownership of the processes and workflows from a work order request through to the work order sign off


The position requires a focus on enabling Service Supervisors and Service field staff with the right systems, information, communication, and knowledge to complete their scope of works and return the required documentation and evidence of objectives.


Furthermore, the role will task you to contribute to the implementation and development of processes and systems providing a direct channel between Service Supervisors and Field Staff, to Service Administrators and Managers facilitating ongoing tracking and reporting on work activities, financial management, and forecasting.


Key Responsibilities:

  • Monitoring work order requests encouraging regular updates and input from supervisors and field staff on information and resource requirements.
  • Coordinate, monitor and update systems relating to resources, schedules and activities to enable effective management from supervisors and field staff to accomplish work order scope.
  • Defining and documenting work order scope and resource requirements in collaboration with Supervisors and field staff input where necessary.
  • Ensure supervisors and field staff are providing regular updates and reporting on workinprogress (WIP) of open and in progress work orders.
  • Facilitating and participate in regular meetings
  • Preparing and delivering reports to Service manager on work activities extracted from digital maintenance management systems
  • Continuous improvement to the workflows, administrative processes & procedures and information capture & transfer throughout operational work activities that Supervisors and field staff execute.
  • Contribute to the digital transformation of the teams operations and assist Service Manager and Service Administrators in developing, training and rolling out updates/features to Digital Maintenance Management software's and digital tools.
  • Responsible for compliance with OHS policies, ensuring workplace compliance, and reporting hazards and near misses
  • Foster a workforce culture of excellence, innovation, honesty, and teamwork

  • Highly developed people management skills with an ability to communicate at all levels
  • Excellent interpersonal and communications skills
  • Strong communicator and have expert knowledge of agile methodologies of project delivery
  • Understanding priorities and ensures work is completed on time to a safe and satisfactory level
  • Understanding of ISO and OHSE requirements
