Ventia's Defence Base Services (DBS) team are seeking an efficient and attention detailed
Planning and Optimisation Coordinator. This role is offered on a permanent full-time basis and is based at RAAF Base Pearce in Bullsbrook.

Whilst this role is based locally, occasional travel to other remote WA RAAF defence bases will be required, within your area of responsibility.


Reporting directly into the Estate Maintenance & Operational Sites (EMOS) Manager, this role provides administrative support across various departments critical to the smooth operation of RAAF bases Pearce as well as other remote WA RAAF sites and regionally attached properties.


In addition, you will be responsible for the Financial and Performance reporting for commercial operations and provide support to the Infrastructure Services Manager and team in triage and processing purchase and work orders, support to the Operational (Soft) Services Manager and team and processing purchase and work orders.


The position will also engage Payroll, People Services, Sub-contractor Management, Commercial and Procurement Team in support of the Ventia team.


Key duties, but not limited to:

  • Coordinate operational processes and systems to enable the delivery of excellent customer service to both internal and external stakeholders
  • Ensure accurate and timely completion of operational databases and information systems administration of financial and other data
  • Evaluate and analyse data, business processes, procedures and controls and identify opportunities for optimisation. Identify critical success factors, metrics and KPIs in process analysis and design to improve quality and productivity and/or reduce cost
  • Coordinate SAP tasks to assist with Purchase & Work Order flow, including but not limited to raising / closing PO's and completion of Work orders to billing stage
  • Submit timely reports and prepare End of Month Financial and performance reports.
  • Engagement in Operational and Strategic Planning
  • Engagement across Payroll, People Services, Subcontractor Management, Commercial and Procurement Teams in support of the RAAF Pearce and Remote Site teams
  • Establish and maintain effective relations with external and internal stakeholders
  • Assist colleagues whenever necessary

Experience & Skills:

  • Tertiary Qualification in Business or equivalent professional experience
  • Experience with SAP, Financial/ Work Orders / Reporting Systems (or similar)
  • A high level of demonstrated management and organisational skills
  • Demonstrated experience in working within a high pressure, collaborative and consultative work environment
  • Demonstrated interpersonal communication skills and the ability to work as a high performing member of a team
  • Demonstrated written communication and IT skills
  • An ability to work flexibly and adaptively in a complex environment with multiple stakeholders
  • Familiarity with office management procedures and basic accounting principlesAn ability to work flexibly and adaptively in a complex environment with multiple stakeholders

Other special conditions


The incumbent to this position must be eligible to obtain and maintain a Defence Security Clearance up to a level of negative vetting 1 (secret).

As a result of this requirement the incumbent must be an Australian Citizen.

This position requires a National Criminal History Check and a valid Australian driver's licence.
