As the Project Officer, your key responsibilities will include:

  • Assist in managing key tasks, deliverables and deadlines, including supervision and coordination of other team members to achieve project objectives and general project management and reporting requirements.
  • Contribute to developing a suite of high quality project management, financial, procurement and governance tools and reports, including preparing and reviewing high standard correspondence, briefing notes, submissions, project management reports financial and procurement papers and other ad hoc activities as required.
  • Actively contribute to the administration to Major Project Detailed Business Cases for complex government infrastructure projects.
  • Processing and recording of transactions and key information in corporate systems, including Content Manager, Aurion and in house contracts administration software.
  • Provide administration support for Project Monthly Reports & Status updates.
  • Provide secretariat services for meetings as required.
  • Manage delivery of project secretariat services and reporting requirements for various steering committees and stakeholder arrangements within established project governance frameworks.
  • Follow defined service quality standards, occupational health and safety policies and procedures relating to the work being undertaken in order to ensure high quality, safe services and workplaces.
  • Investigate, analyse and evaluate information from diverse sources including project documents, contracts and legislative / regulatory requirements and provide risk management advice to directors and project managers on project financial, budgetary, contractual, and procurement related issues.
  • Develop and maintain a range of program and project specific financial and performance reports and related systems to provide timely, accurate and relevant information to stakeholders, proactively addressing and reporting risks, issues and recommended actions to enable delivery of projects within program, scope and budget constraints.
  • Maintaining registers to ensure accurate data capture and recording.
  • Attend project team meetings as required.
  • Assisting the Principal Project Manager/Senior Project Manager to determine attainable fees for services under your control and where necessary, generate the approval for the billing of clients.
  • Maintain processes, procedures, work instructions and forms associate with the projects.
  • Effective communication and relationships with key project stakeholders, including project managers, program managers, client managers, clients and other internal business units.
  • Monitoring of business system data quality through regular variance analysis reporting to identify and resolve issues and implement changes to minimise errors and data exceptions.
  • High competency in Microsoft Word and Excel is highly desirable.

The successful applicant will demonstrate:

  • Demonstrated ability to administer projects, working with program and project teams, including consultants and/or multidisciplinary teams to ensure that risks are effectively managed and key program and project milestones are achieved.
  • Demonstrated capacity to provide high level administration to a range of key stakeholders, regarding programs and projects objectives.
  • Responsible for delivering outcomes through selfmanagement, sometimes with guidance from team leaders.
  • Valued for the knowledge and skills in their specialist area and strong selfmanagement
  • Excellent written and oral communication skills and sound negotiation skills, with welldeveloped ability to write with precision and persuasion.
