About the Job


The National Film and Sound Archive of Australia's (NFSA) Collection Management Section ensures the responsible management of the National Collection of four million audiovisual, documentation and artefact works relating to film, sound, television and radio captured in a diverse range of analogue and digital formats.


We seek a dynamic leader who has worked extensively with cultural collections and Collection Management Systems to lead the Collection Security Team.

You will be required to ensure that stocktaking and collection storage programs are delivered consistently in a professional, accurate and timely manner.

You will be required to develop, document and implement operational procedures as well as undertake supervisory responsibilities including administrative duties, performance management and staff development.

The Team Leader, Collection Security, Storage and Care is responsible for coordinating the annual collection auditing program.

You will participate in management and team meetings, provide advice and recommendations, and prepare a range of statistics and reports.


The role also includes a range of activities relating to collection management, such as shelf checking, managing storage projects, overseeing disaster and chemical compliance programs, and assisting internal and external clients as required.

You will ensure that collection records in the NFSA's collection management system, Mediaflex, accurately reflect each item and its location.

In undertaking your duties, you will liaise with NFSA staff from various teams across the organisation and external clients.

As the collection is stored between several sites in Canberra, you will regularly be required to travel between these locations.


Vital to the role is a firm understanding and knowledge of collection storage and archiving practices, collection handling and auditing principles.

Proven experience in working with collection management systems and advanced computer skills is also important.

Effective time and staff management partnered with excellent communication skills, attention to detail, drive and a flexible approach to working in a challenging environment are key attributes to achieving the expected outcomes of this exciting role.


About the Team


The Collection Security Team consists of six staff, undertaking a broad range of collection security tasks including: stocktaking; shelf checking; storage logistics and collection care activities such as accessioning projects, repackaging work and collection relocations.

The Team is situated within the Collection Management Section of the Collection Branch. The Collection Management Section undertakes a broad range of operational activities ensuring the National Collection is preserved and accessible.

The position is based at Mitchell, Canberra but you will regularly be required to communicate with staff across all NFSA sites and commute to NFSA headquarters at Acton to work and liaise with staff located there.

The position is full time 36.75 hours per week.

Under general direction, coordinate the annual stocktaking and storage program and supervise the activities of the Collection Security Team ensuring that outcomes are delivered to the expected service level standards in accordance with collection management best practice principles as applied in an audiovisual archive environment.


Job Details

Under general direction undertake the following duties:

  • Supervise and coordinate the annual stocktaking program of the national audiovisual collection and undertake related collection auditing activities, services, procedures, and training, ensuring that these tasks are completed within designated timeframes.
  • Proactively participate in collection management operations including implementation of collection storage projects, plans and related procurement.
  • Assist with research, and contribute to the development of polices, practices and procedures, in relation to collection management issues, including the disaster supplies and chemical compliance programs.
  • Undertake operational and administrative duties, prepare reports, and provide statistics, including monthly reports on internal and external loans. Liaise with staff across the organisation to facilitate the return of overdue and misscanned items.
  • Supervise and coordinate a team who undertake a broad range of duties (storage, archival packaging program, accessioning, collection care, pest management, disposals, liaising with Property staff and onsite contractors), and ensure the duties of the team are delivered within appropriate timeframes.
